Prepare the documents AI needs to help

AI accounting only works well when the source material is complete. Use this checklist to prepare the documents, records and access needed for a clean migration.

Transfer and setup sequence

1. Transfer secretarial work

If another provider is handling company secretarial work, prepare the company name, contact person and email details so board resolutions and paperwork can be coordinated.

2. Transfer an existing Xero subscription

Existing clients can log in to My Xero, open subscription settings and request a transfer so Ninja Accountant can support the account.

3. Bring accounts up to date

Send soft copies from incorporation to the latest month so the accounting records can be reconciled, reviewed and used for reliable dashboard reporting.

Documents to prepare

  • Bank statements, ideally exported in Excel or CSV format
  • Sales orders and customer invoices
  • Purchase orders and supplier invoices
  • Receipts, expense notes and payment vouchers
  • Payroll summary, CPF records and employee earnings documents
  • GST registration and filing materials, if applicable
  • Journal vouchers and adjustment notes
  • Tenancy agreements and recurring vendor invoices
  • Fixed asset register and inventory listing
  • Borrowing, loan or hire-purchase schedules
  • Revenue, cost of sales and expense monitoring schedules
  • Debtor and creditor control reports
  • Existing compliance deadlines or reminders
  • Questions the founder wants the finance dashboard to answer
